REGISTRAR-NORTHFIELD CONFERENCE

 

The duties of the registrar and treasurer are often the same.  If there are two people selected, they can divide the

Tasks between them at the beginning of the year.

 

Before the registration form is mailed out on or before March 31th, be sure you proofread the form carefully for any errors in board/room rates, linen charges, etc.  Your name, address, e-mail should be listed on the registration form and all returns mailed to the registrar.

 

 IMPORTANT - Attend the meeting in May at Northfield.  Be sure to get a printout of each dorm to be used. 

 

As the applications are received, checks are deposited and a copy of amounts with check # plus name are sent to Treasurer.  A 5x8 card is completed for each family (see attached).  Those requesting r/b aid are listed with the amount awarded - usually ½ B/R but occasionally more can be given in special circumstances after discussion with the financial committee.  Each year a total amount for scholarship aid is decided upon at the May meeting.

 

One week before the Conference, you must call Auxiliary Enterprises at the school with the final count, dorms to be used, adult and children #'s, count for linen in each dorm (order 10 extra packs for emergencies to be kept in your room) and number of people attending Brunch on Sun. morning.  (Those that are required to be at the school Sunday a.m., will have their Brunch paid for and their room Sat. night.  Everyone else will be charged $25.00 for overnight and Brunch.

 

A final count for children 1-14 with names and ages of each should be sent to the person incharge of the Children's Program the week before the conference. (Weekly e-mails with updates of #'s is important)

 

Select and time and date to meet with 3 or 4 people to assign rooms. This usually takes place 2 weeks before the Conference.  Be sure to have the dorm room layouts from the school and check that each person is assigned a room.

 

One Week before the Conference make a master list of everyone with name, address, telephone #, e-mail, and room assignment to be e-mailed to Kay Flanagan .  She will double check, print, and bring list to the Conference. The list will be posted in each lounge on Sun. a.m. and the rest be given out at registration to each conferee.

 

The treasurer and Registrar will assist each other at registration on Sunday from 1p.m. to 5p.m. The 5x8 cards should be marked paid and check attached.  We do not accept credit cards or Canadian checks.  The Canadians usually pay in dollars or money orders in American funds.

 

The registrar and the treasurer should work together during the week with the silent auction, billings, t-shirts,

Collecting r/b from late arrivals and paying bills.

 

Mid-Winter Conference could be assigned to either registrar or treasurer.
